Law Firm – Document Processing Specialist

Successful, top-rated personal injury law firm in Dallas is seeking Document Processing Specialist for our Front Desk department.

The ideal candidate speaks and writes English and Spanish and has full-time personal injury law firm experience, preferably with a primary concentration on car and truck accidents and premises liability cases. As a Document Processing Specialist, you will be responsible for receiving, organizing, and inputting incoming documents into our client matter system. You will work closely with attorneys, legal assistants, and other team members to ensure that documents are properly attached to the correct case/matter and stored in the appropriate locations within the system. This position requires strong attention to detail, excellent organizational skills, and the ability to work efficiently in a fast-paced legal environment.

Responsibilities:

• Receiving and organizing incoming documents via eFax, email, and scans, prioritizing them by case/matter.
• Ensuring accurate logging and tracking of all incoming documents.
• Entering relevant information into the client matter system, including metadata for proper attachment to cases.
• Verifying data entry accuracy and making necessary corrections.
• Conducting quality checks to ensure correct labeling, filing, and storage within the system.
• Resolving any discrepancies or errors in document organization or input.
• Collaborating with legal team members to prioritize document intake and ensure timely processing.
• Communicating effectively with internal stakeholders about document status and addressing any issues or concerns.
• Adhering to policies, procedures, and regulations governing document management and confidentiality, maintaining strict confidentiality of sensitive information and client data.

Requirements:

• Proficiency in English and Spanish.
• High school diploma or equivalent; additional training or experience in a law firm environment is a plus.
• Strong attention to detail and accuracy in data entry.
• Proficiency in using office software and document management systems.
• Excellent organizational and time management skills.
• Ability to work effectively in a fast-paced and deadline-driven environment.
• Strong communication and interpersonal skills.
